We are looking for an experienced, multitasking, Office Manager to join our Admin team. This is a full-time, maternity leave replacement for a period of minimum 1 year, work-from-office position. This position will support the local and global teams. The Admin team is responsible for ensuring the smooth running of the office and helping to improve company procedures and day-to-day operations.

Requirements

  • 5+ years of experience in a similar role
  • 5+ years of experience in administration, facilities management, including office renovations and transitions
  • Proficiency in English at an advanced level - spoken and written communication
  • Strong organizational and planning skills
  • A quick learner with demonstrated ability to switch among multiple tasks over a single day, and to keep track of numerous concurrent assignments while completing them in a timely fashion
  • Willingness to work after regular business hours or adjust work schedule as needed
  • A pleasant and friendly attitude is essential, with abilities to listen and communicate effectively
  • Detail-oriented and with a creative mind, able to create and improve processes and procedures
  • Proficiency in Microsoft Office and Google Workspace applications
  • A team player with the ability to work with colleagues and managers remotely
  • Ability to work independently, take full ownership of multiple tasks, prioritize workload, and make decisions in a fast-paced environment

Responsibilities

  • Organize office layout, food and refreshments, and other office functions
  • Support construction, renovation and relocation projects
  • Manage office health, safety, and security procedures
  • Liaise with facility management vendors, including cleaning, catering and maintenance
  • Order and manage office equipment, stationery, and supplies and track the inventory
  • Track expenses, manage budget and review invoices
  • Address administrative requests
  • Arrange transportation, accommodation, expenses and other assistance to our traveling staff and incoming visitors
  • Assist in onboarding and offboarding of employees
  • Provide general support to visitors
  • Assist the Director of Global Operations as required
