The Role
As the Front Office Receptionist, you will serve as the face of our organization, providing exceptional customer service and ensuring a smooth and welcoming experience for clients, visitors, and employees. Your primary responsibility will be to manage the front desk, handle inquiries, and assist with administrative tasks.
Front Office Executive Responsibilities
- Manage the reception area, ensuring it is tidy and presentable at all times.
Greet and welcome employees, guests and visitors with a warm and professional demeanor.
- Issue ID badges to contractors, Interns, visitors and maintain the log-books on a daily returnable basis
- Escort interview candidates, employees visitors to designated floors, provide guidance or any information as needed. Work closely with housekeeping and cater to F&B
- Guide incoming visitors who come with queries related to Hiring, facilities, HR, travel etc., provide appropriate contact information.
- Couriers - work closely with IT rep in arranging couriers of IT assets during on-boarding and off-boarding with record maintenance.
- Couriers – handling incoming and outgoing mail and packages of employees, maintaining log-book with airway bill receipts
- Meeting room arrangements during visitors – work closely with housekeeping and handling F&B, being highly presentable & timely.
- Provide ID card, access cards & biometrics to new hires
- Report any security, housekeeping, facilities concerns, incidents, or irregularities promptly
- Handle any other duties related to front office operations.
Admin Assistant Responsibilities
- Maintaining petty cash
- Processing day-to-day expense receipts, tracking invoices and managing vendor payments
- Handling employee gifting, maintaining and ordering stock
- Working with vendors for corporate gifting International travel documentation & printing
- Booking of accommodation, ground transport for Executives
Qualifications
- Bachelor’s degree in any; additional certification in office management is a plus
- Excellent written and verbal communication, strong organizational skills, and attention to detail
- Proven at least 1 year of experience as a receptionist or in a similar role
Preferred :
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)Strong organizational and multitasking abilities
- Professional appearance and attitude
- Ability to handle sensitive information with discretion
- Knowledge of office equipment (e.g., printers, fax machines)Ability to work independently and as part of a team
- Customer service-oriented mindset
